Operations Manager

POSITION: Full Time

REQUIREMENTS:

  • Four year college degree preferred. An exceptional service record in customer service, management, hospitality or cultural organizations may be substituted for part or all of the degree preference.
  • Minimum of three years of experience in a customer service environment. Experience with personnel management is strongly preferred.  Additional experience in a related industry such as hospitality, attractions or cultural organizations is highly desirable.
  • Extensive knowledge of facility operations, including scheduling, working with outside vendors and technology related systems.
  • Knowledge of basic personnel supervision practices. Ability to train, supervise and evaluate employees and volunteers and create an atmosphere of teamwork and positivity.  Must be able to work with adults as well as children of all ages.
  • Knowledge of computers as needed for office work, including knowledge of Microsoft Office.
  • Must be highly organized. Ability to communicate clearly both in person and in writing and manage multiple tasks simultaneously with minimal supervision.
  • Ability to plan, organize, implement, supervise and evaluate critical program components of the day to day operation of a children’s museum.
  • Ability to establish and maintain good working relationships with co-workers, other Park District personnel, vendors and the general public.
  • Must be people oriented and continually demonstrate a customer-friendly personality while performing all duties in a manner that demonstrates reliability, initiative, tact and resourcefulness.

DUTIES:

  • Responsible for all internal PlayHouse management systems, including but not limited to exhibition care, facility care, staffing, financial reporting and customer service. Ongoing improvement of PlayHouse operating systems as needed.
  • Hire, train and supervise part time museum staff. This includes check-ins and performance reviews, coaching and discipline, offering and tracking staff trainings, and recognizing and retaining staff. Manage volunteer program.
  • Ensure smooth museum operations, including scheduling, communications, museum usage, troubleshooting, logistics, etc. in collaboration with Managers on Duty and other office staff.
  • Manage point of sale system, including back-of-house operations, front-of-house use and training and reporting.
  • Coordinate with custodial and maintenance staff to ensure that all areas of the Museum are clean and in excellent working order, that custodial team has supplies and resources needed.
  • Coordinate with Purchasing, Maintenance and Repair, and IT Departments and outside vendors to ensure any repairs and issues are dealt with in a timely manner. Work with staff throughout the Park District and develop knowledge of PPD policy and procedures to ensure adherence to these standards at the facility.
  • Handle visitor concerns, comments and complaints as needed and communicate visitor and staff concerns to Museum Director. Ensure that guest concerns are addressed promptly and professionally.
  • Financial management, including creation of daily distribution reports to submit to the Park District business office, budget tracking, and payroll processing. Reconcile reports and work with staff to ensure accurate numbers related to all revenue lines.
  • Contribute to marketing efforts, in particular internal marketing such as signs, wall calendars, TV sliders, etc.
  • Follow all safety procedures that pertain to the duties performed. Support all aspects of the Park District safety program.
  • Perform all other duties as assigned.

Membership and Marketing Coordinator

POSITION: Part Time (29 hours per week)

REQUIREMENTS:

  • Four-year college degree preferred; extensive experiences in a like position with similar duties or responsibilities may be substituted for all or part of the education requirement.
  • Ability to create and adhere to highly structured calendar of tasks, including weekly, monthly, and annual deadlines
  • Comfort with / ability to learn and use fluently: Facebook, Instagram, WordPress, and membership databases, as well as Microsoft Office Suite (Word, Excel, Outlook)
  • Experience using statistical math to inform decision making as well as track budgets; general skill at data analysis
  • Excellent communication (written and verbal) and customer service skills, in person and over the phone.
  • Excellent organizational skills and ability to manage multiple tasks simultaneously with a minimal degree of supervisory oversight.
  • Ability to keep information confidential
  • High degree of accuracy and close attention to detail.

DUTIES:

  • Membership processing, including processing applications, generating cards and communications, maintaining an accurate database, and assisting members in person and by phone.
  • Assist with transition between membership databases
  • Manage membership revenue and expense lines
  • Work with other PlayHouse staff to refine membership structure, benefits, materials and processes.
  • Prepare monthly, quarterly and yearly reports on a range of data points, as well as creating other data reporting as needed.
  • Use Microsoft Excel and other mathematical tools for analysis; perform calculations to determine statistical differences between data points.
  • Coordinate PlayHouse marketing, including creating and maintaining PlayHouse marketing calendar, updating PlayHouse website, and social media posting
  • Attend office staff and all-staff meetings and assist with training as needed.
  • Adhere to strict confidentiality requirements.
  • Follow all safety procedures that pertain to the duties performed and support all aspects of the Park District’s safety program.
  • Perform all other duties as assigned.

OTHER:

  • Pay rate is $12.00 per hour.

Maker Playologist - Experience Facilitator

POSITION: Part Time (average 20 - 25 hours per week).

REQUIREMENTS:

  • Successful candidates must have experience and comfort with basic carpentry tools. Must have demonstrated experience building or constructing things from a variety of materials, such as wood, metal, plastic, reclaimed/recycled materials.
  • Experience or interest in interacting with and leading children 0-8 years of age in open-ended art or building related projects.
  • Must have experience or interest in working with children and families in an informal educational setting.
  • High school diploma or equivalent required. Some college preferred. Experience in a similar role may be substituted for all of part of the educational requirements.
  • Must have excellent customer service skills.

DUTIES:

  • Work in the Real-Tools exhibit, interacting with visitors as they learn how to use hand carpentry tools and complete carpentry projects.
  • Facilitate visitors’ play experiences in a welcoming, enthusiastic, and open-ended manner.
  • Deliver high quality customer service by answering questions and assisting visitors.
  • Monitor the orderly operation of the museum including communicating rules to visitors/field trips and following safety standards and sanitation requirements. Routinely walk through galleries and straighten as needed.
  • Continually organize exhibition spaces throughout the day. Perform cleaning and resetting of exhibitions for opening and closing procedures daily. Spot clean as needed.
  • Assist in setup, delivery and visitation.
  • Report supply needs and exhibition repairs or maintenance to supervisor in a timely manner.
  • Lead planned and impromptu activities as necessary.
  • Report all visitor comments, complaints and trends to Operations Manager in a timely manner.
  • Follow and support all aspects of the Park District’s safety program.
  • Attend all staff meetings as required.
  • Perform all other duties as assigned.

OTHER:

  • Starting pay rate is $10.00 per hour.
  • Typical work hours are assigned and performed during the 8am – 5pm time period while the facility is open, seven days per week. Some hours will be assigned outside after 5pm for events and programs, as necessary.

Admissions and Retail Attendant

POSITION: Part Time (Average 24 - 29 hours per week)

REQUIREMENTS:

  • High school diploma or equivalent required. Some college preferred. Extensive experience in a similar role may be substituted for all of part of the educational requirements.
  • Minimum of one year experience in a customer service role, ideally a museum or other visitor attraction setting.
  • Must have excellent customer service, problem solving and organizational skills.
  • Must have experience or interest in working with children and families in a highly diverse informal educational setting.
  • Practical understanding of ages and stages of child development.
  • Knowledge of basic telephone and PC functions including Microsoft Office.
  • Ability to maintain focus and professional demeanor in a highly demanding atmosphere.
  • Ability to create an atmosphere of teamwork and positive energy among staff and volunteers. Experience working as or with volunteers preferred.
  • Ability to manage multiple tasks simultaneously with a minimal degree of supervision.
  • Ability to establish and maintain good working relationships with co-workers and the general public.
  • Must be able to interact effectively and respectfully with adults as well as children of all ages.

DUTIES:

  • Open and close Welcome Desk computer systems according to defined procedures.
  • Perform cashier duties including handling cash, check and charge transactions.
  • Promote and sell PlayHouse Children’s Museum admissions, memberships and programs.
  • Clean and maintain an organized and well-stocked front desk area and assist in exhibition cleaning and organizing on a daily basis. Perform spot cleaning in other areas as needed.
  • Interact with museum visitors by answering questions about the Peoria PlayHouse Museum, Peoria Zoo and Luthy Botanical Gardens programs and ticket options.
  • Interact with the general public and privately booked groups, school groups, and birthday parties and ensure an excellent experience for all visitors.
  • Light clerical work: answering and directing phone calls, data entry and other duties as assigned.
  • Check in and direct guests for museum workshops and programs.
  • Manage lost and found area.
  • Attend all staff meeting s and trainings as required.
  • Perform all other duties as assigned.

OTHER:

  • Pay rate is $10.00 per hour.

Monticello Education Intern, August 2019 - August 2020 (PAID)

POSITION: Part Time (28 hours per week); a full year commitment is required.

RESPONSIBILITIES:

  • Coordinate field trips, including:
    • Communicate with teachers interested in booking field trips.
    • Complete field trip bookings in museum calendar and in the museum's booking system.
    • Assist in setup and facilitation of interactive field trip experiences, including leading selected field trips.
  • Assist with education events and programs; design activities or components of programs.
  • Assist with booking additional programs, including birthday parties and rentals, as needed. 

QUALIFICATIONS:

  • College degree is required. Degree in Education, Museum Studies, Art or Early Childhood Development a plus.
  • Experience in a formal or informal educational setting working with children 0-9 years of age. Previous experience in a
    museum or with customer service is a plus.
  • Must have excellent communication and customer service skills.
  • Experience or desire to work with a highly diverse audience in a busy atmosphere.
  • Must have experience or interest in working with children and families in an informal educational setting.
  • Ability to interact positively and spontaneously with visitors.
    Knowledge of basic telephone and PC functions including Microsoft Office.
  • Ability to contribute to an atmosphere of teamwork and positive energy among staff and volunteers.

OTHER:

Stipend is $15,000 for one-year internship, to be paid in increments every 2 weeks. Typical work hours are assigned and performed on weekdays, 9am - 4pm, but may include some evening and weekend
hours. 28 hours per week.

This internship has a study/research component, which includes the opportunity to travel to other museums and meet with staff there, and/ or attend regional conferences. Study/research time is unpaid; there is a $1000 budget for travel expenses paid for by the Park District.
